JOB TITLE: Events Specialist 

DEPARTMENT: Events 

SUPERVISOR: Events Director 

EMPLOYMENT STATUS: Contractor 


  • To adhere and to always promote the mission of the AZHCC 
  • To assist with all logistics of the AZHCC membership events, signature events and any other events as requested 
  • To assist in planning of all the AZHCC membership events, signature events and any other events as requested 
  • To assist with the logistics of all small membership events, and events as assigned including booking of venues, food and delivery, décor, audio / visual needs, volunteer organization, signage placement, show agendas, event space layouts, scheduling vendors, panelists, guests, and participant speakers and communicating both via email and phone for their event logistics, sponsor deliverables, attendee registration, and any other event logistics as directed 
  • To assist with the vendors and clients who help execute the AZHCC events 
  • To assist with the logistics of all signature events including booking of venues, menu creation, booking of talent, décor, audio / visual needs, volunteer organization, signage placement, run of shows, show agendas, photographers, videographers, event space layouts, scheduling vendors, panelists, guests and participant speakers and communicating both via email and phone for their event logistics, programing, run of show, sponsor deliverables, registration, presentation displays, materials support and any other event logistics as directed 
  • To assist vendors and clients who help execute the AZHCC events 
  • To assist in managing all event registration links In the software system for all membership, program, and signature event registration 
  • To regularly communicate event expenses to the events Director 
  • To assist in managing the tracking system for event logistics for deployment and reporting 
  • To assist in providing information for events to be posted and promoted on AZHCC social and digital media outlets through regular meetings with the marketing team 
  • To assist in maintaining the AZHCC event calendar daily by uploading all event info to keep staff and the public informed 
  • To meet with the partnerships team regularly to assist in the deliverables of the Los Amigos and other sponsors for events, and to aid in the development of sponsorship packages for events in consideration of revenue generating opportunities for the AZHCC 
  • To be part of the review team to consider new events that are suggested to the AZHCC 
  • To assist in managing and reporting analytics and stats for future improvements in events processes 
  • To assist in event debriefs and report all findings to the Events Director 
  • To assist and prep regular meetings with the membership, DATOS and marketing teams for proper preparation of events including meeting agenda’s 
  • Other duties as assigned by supervisor 


REQUIREMENTS: 

  • Must have 2 years in event management experience 
  • Must have 2 years in task-oriented skills 
  • Must have a basic knowledge of financial statements 
  • Must be able to travel to and from events 
  • Must have good communications skills in a team setting 
  • Must have good communication skills in a community setting 
  • Must be able to present information to fellow team members 
  • Must be a proactive self-starter and be able to communicate deadlines and goals to the team 
  • Must be timely and able to adhere to deadlines 
  • Must be able to prioritize, solve problems and be resourceful under pressure 
  • Must have great writing skills including grammar and punctuation 
  • Must be proficient in Microsoft Office 
  • Bi-lingual Spanish speaking preferred with writing, reading, and translation skills

  • Outgoing personality to interact with a variety of clients, members, sponsors, and staff 
  • Ability to multi-task and manage several projects at one time 
  • Ability to work nights and weekends, as needed 
  • Must have vehicle to travel to events, meetings, and carry appropriate insurances
